How to Use Multiple Signatures on Gmail

If you use Gmail for professional reasons, for an association, or for a personal project, it may be a good idea to add a signature to your emails. But when you use the same account for several purposes, you certainly need to use several signatures on Gmail, and it is entirely possible!

Whether it's for work, to communicate with friends or to respond to family members, we'll see together how to configure multiple signatures to meet all your needs.

How to Create Multiple Signatures on Gmail

Gmail has more and more options and settings, and it can be tricky to navigate them all, especially if you don't know where to look. Here's what you need to do if you want to create and use multiple signatures on your account:

  • Open the settings menu of gmail by clicking on the gear icon at the top right of the screen, then select See all settings.

  • Under the tab General, scroll to the section Signature. If you already have a signature, this is where you will see it. If you don't have one yet, it will say No signature.
  • Click on the button + Create.

  • In dialog box that appears, enter a name for your new signature, then click Create. Choose a relevant name that will allow you to remember the use of each signature (Work, family, friends, etc.).

  • Select the newly created signature and type or paste the contents of your signature into the empty text box on the right. You can customize your Gmail signature by adding images, formatting the text, or inserting links.

  • Repeat this process for the different signatures you need.
  • Finally, at the very bottom of the page, click on Save Changes so that your new signatures are taken into account by Gmail.

To edit a signature, click the pencil icon next to it. You can also delete a signature by clicking the trash can icon next to it.

How to manage multiple signatures in Gmail

Here you can also create and edit signatures you have created for different email accounts if you use the Send emails as from Gmail. Under the section “General Settings”, open the drop-down menu that displays your e-mail address current. Select email-address desired to access the signatures of this account. This option is only accessible if you have multiple email addresses associated with your Gmail account.

You can also set your Gmail's default signature here. Use the two drop-down menus under Signature Defaults to set a default signature for new emails and another for replies and forwards.

Once you're done, scroll down to the bottom of the settings page and click Save Changes.

Now let's see how use these signatures in practice when you are writing an email.

  • Create a new email as you usually do
  • In the mail window, at the very bottom in the menu, click on the pen icon.
  • In the menu that opens, select the signature you want to use.

You can also click on Manage Signatures to directly access the signatures menu where you can create, edit and delete signatures, as described above.
