Print multiple Gmail messages at once

Gmail is a fairly advanced webmail service with quite a few features, but surprisingly, there is no option to print multiple Gmail emails or a selection of emails at once. While this is not a feature that you use every day, it can still be very useful when, for one reason or another, you urgently need to print a long list of emails.

However, there is a fairly simple troubleshooting solution which consists of assigning a label to the emails in question and then saving them as PDFs in your Google Drive using a Google Doc add-in… and finally print them by downloading them to your computer.

Print multiple Gmail emails

  1. Go to Gmail, select the emails concerned by the manipulation and apply a label to them (like to be printed) using the little tab in the top menu of Gmail.

  2. Visit Google Drive and create a folder (Emails for example) where you will store the PDFs of your emails.

  3. We will then install the module Save Emails and Attachments for Google Sheets by clicking the “Install” button.
  4. Once the extension is installed, go to Google Sheets and create a new blank workbook by clicking the big “+” button at the bottom right of the screen.
  5. In the newly created workbook, click Extensions In the top menu, choose Save Emails and Attachments and OpenApp (on first use you will need to allow the extension to access Gmail).

  1. The application will open in the foreground. Click on " Create Workflow » to create a new backup process.

  1. The application has several tabs. In the tab Gmail Search, in the Gmail Label field, select the label you created in Gmail for the emails to be printed (To print in my case).

  1. Click on Continue to go to the tab Google Drive. On this tab, in the Google Drive Folder field, go to the folder you created on Google Drive (Emails in my example).

  1. Click again on Continue, to go to the tab Configuration. On this tab you can specify the format of the saved emails (PDF is a good choice) and choose whether or not to save attachments from your emails.

  1. Click one last time on Continue. Give your workflow a name (for example Emails) then on Save & Run Workflow to start the process of saving your emails.
  2. Please wait a few minutes for all emails to be processed (they are labeled “Saved” in Gmail when they are printed).
  3. In Google Drive, right-click on the file where the PDFs of your emails and select “Download. Google will gather all your files into an archive.
  4. Save the archive containing all emails to your computer and extract the files.
  5. Select all the files in the emails and attachments you want to print (Ctrl+A or Cmd+A on Mac)
  6. Then do a simple Ctrl+P (or Cmd+P on Mac) or right-click and “print”, which will allow you to send all the documents to your printer.

The advantage of this system is that even if you don't need to print your emails on paper, you can keep them in PDF format on your computer!

There you have it, you now know this trick that will allow you to print several Gmail emails at once. The manipulation is certainly a little laborious for some emails, but on the processing of a very large number of emails you will save an incredible amount of time! And once all the machinery is in place, the next times will take you very little time!

    • Did you install the extension correctly and give it permission to access your Google account when installing it?
      Normally if this is the case when you click on Extension in a Google Sheet the app should appear at the very bottom of the menu… it may take a few seconds before it appears when you click on Extensions…
